How to Improve Corporate Process Management with a Custom Solution

Modern solutions for corporate process management focus on providing the most to business. However, finding one that’s fully capable of covering everything is close to impossible. Our client, one of the largest providers of solar panels and security systems for smart homes, was looking for a solution that would simplify their internal processes, store all the company’s data regarding the employees, payments, checks, etc., and assign roles (i.e., managers, recruiters).

In the article, we discuss how the Agiliway team helped improve the web and iOS versions of the system to make the internal processes of the client’s business simpler and run smoothly and efficiently.

What Tasks Was the Team Challenged with?

Among the key tasks the client gave the development team were improving the operating capacity of the system and adding the functionality that our client needed. One of the first steps in the development process was creating a testing environment, as the client’s current system did not have one. This step was crucial since the new features should be tested before they are put in a production environment. Among other requirements were improvement of the performance, code refactoring, adding CI/CD process, and migration from an old system to the new one which serves as a single platform for partners.

The Implemented Solutions

After migration to the system built by the Agiliway development team, the following benefits were provided to our client:

  • Unified Platform for All Partners

The updated solution serves as a single platform for all of the client’s partners to handle all activities, from creating invoices to signing contracts. This centralization simplifies the workflow and eliminates the need for partners to use multiple systems.

Partners can now access the platform using their mobile devices or tablets, allowing them to manage their tasks remotely and efficiently.

  • Automatic Data Management

The client inputs the necessary data into the platform, which is then processed and sent to the server. The system automatically communicates with the client’s Salesforce ERP system, ensuring that all business project data is synchronized and up to date.

Data visibility is managed based on user roles within the company, ensuring that each user has access only to the data relevant to their responsibilities.

  • Monitoring and Issue Management

The system tracks and monitors any issues related to the client’s partners, such as payment delays. This enables the client to address any problems promptly and maintain smooth operations across their partner network.

  • Document Signing and Remote Collaboration

A critical feature of the solution is the ability to remotely sign documents. The client’s screen is duplicated, allowing the partner to view and follow along as the client signs. Once the client saves the document, the partner’s screen automatically reflects the changes in real-time.

Partners can also input data directly, which the client can verify and confirm, for example, over a phone call, ensuring accuracy and reducing errors.

  • Efficient User Onboarding

New users are invited via a simple link. The system automatically recognizes new users and creates a profile for them, pre-filling common default data. This feature accelerates the onboarding process, ensuring that new partners can quickly start using the system without lengthy manual setups.

Summary

With all the changes introduced to the client’s platform, the automation of the system was improved, therefore, there so no longer any need for manual data checks. Connecting multiple services now saves much time and effort and creates space for focusing more on business growth. The settings and UI now are more user-friendly and do not require assistance from the tech team all the time.

Following this, the system also gained more active users as the improvements turned out to be a success. Today there are over 1 thousand active users in the iOS application.
